Vice President of Operations

The successful candidate will have a minimum of bachelor’s degree and a strong academic background in Business Administration, Finance, Accounting or a related field. Superb written and verbal communication skills, exceptional leadership experience with multiple high-level direct reports, and a proven track record of establishing trusting relationships with all internal and external stakeholders is a must. Candidate must be comfortable interacting with senior level officers (e.g., CEOs, CFOs, etc.), directors, and institutional investors.
Essential duties and responsibilities of this position include:
Recruiting and Human Resource Management
Oversee all aspects of the Human Resources function. Hire, orient, and supervise all support staff and impose disciplinary action where appropriate. Coordinate recruiting efforts for rotating internships and permanent staff. Administer personality tests and similar measures to qualify candidates. Set, measure, and monitor staff performance. Recommend personnel policies and actions for consideration. Advocate company culture and design and implement team-building efforts, perquisites and similar measures to maintain positive morale.
Marketing & Communications
Communicate goals and strategies to administrative team and support staff. Maintain communication and relationships with administrative team, support staff, attorneys, clients and the community. Assure all personnel are appropriately informed of firm activities, situations, and functions through clear verbal and written communications.
Provide direct administrative support to the team. Utilize effective planning and goal setting methods in order to achieve administrative directives of the firm. Establish policies and procedures to meet the needs of the organization and facilitate operational change to improve profitability. Provide direct administrative support to the team. Oversee all aspects of the firm’s financial management, budgeting, analysis and profitability improvement. Direct efforts of third-party vendors in accounting, tax and compliance. Also plan, manage, and direct the technology and communication systems of the firm. Arrange for and oversee administration of benefit programs including health, dental and vision insurance; retirement plan; life and disability insurance; paid time off; and leaves of absence.
Planning & Strategic Execution
Plan for future growth and changes in operations. Assists in developing business goals and organizational strategy. Develop and implement plans for the operational infrastructure of systems, processes, and personnel designed to accommodate the objectives of the firm.
Required Experience / Skills:
- 3+ years of relevant experience, ideally as an Operations or Vice President in a similar environment (financial services, law firm, management consulting, )
- Proactive, self-starter, problem solver.
- Exceptional organizational and communication skills.
- Proficiency with MS Office, specifically Word, Excel and PowerPoint.
- Must be able to work in a fast-paced environment with little supervision and meet critical deadlines.
- Team player attitude.
- Experience with QuickBooks.
- Experience with FINRA compliance a plus.
- Aptitude for technology.
- Positive, friendly personality.
Hours: Normal business hours. Additional time may be required as necessary.
